Virtual PBX Dashboards: Design the Best Phone System for Your Business

Virtual PBX phone systems provide extensive customization through dashboards.

Modern-day technology has allowed businesses to rapidly advance and maximize productivity to bring in profits. This includes the everyday office technology that workers use to get their work done. One of those pieces of technology is the office phones and the phone system that a business uses.

A virtual PBX phone system allows for greater flexibility than a traditional PBX system and a faster workflow. While there is no specified hardware, as it relies on internet access to make and receive calls, it is actually easier than ever to run a business with a cloud-based virtual phone system

Virtual PBX dashboards give you more control over your phone system.

Virtual PBX dashboards give you more control over your phone system than has previously been possible with older landline systems. As an administrator, you have the capabilities to design a phone system that is completely customized to your individual needs and those of your business/employees.

Your dashboard should be part of your considerations for choosing a virtual PBX service provider, as it is the place where you will set up all your configurations and maintain your system. When designing your phone system from your dashboard you should be able to control the following features and create your ideal phone system, all from the convenience of your computer.

Set up your phone tree

While setting up your phone tree may not be something you would consider to be a complex task, it is an extremely important one that requires the proper thought and time to do. Phone calls are vital for your company to the success of your business, as many people still prefer to communicate over the phone. So, a user-friendly experience is key.

Your phone tree is what your virtual PBX system uses to route calls to the correct person. Phone numbers, individual extensions for all employees, and employee and department names are things you will need to complete a menu for callers to choose from when they are trying to reach a specific person or department.

Virtual PBX phone trees also have other components. There are rules you can create so that anyone calling after business hours can be informed of operating hours and be sent to a voicemail. They can also redirect callers if no one from a specific department is available or send them to a voicemail.

Update employee and company information

Keeping information updated and relevant is an essential aspect of a functioning business. With the right dashboard, you should be able to easily change things like the names of employees, such as if they marry and make a name change, or remove them from the system altogether.

You can also set up recordings for greetings or to inform callers that the business is closed for the day, along with normal operational hours. So, for example, if a holiday is coming up and the business will be closing early then you can record a new greeting to inform people of the closing.

Access your voicemail in a convenient manner

One of the really nice features of a virtual PBX is the ability to get to your voicemail from your email if that is your preference. If you prefer to leave it on your phone then that is up to you, but if you find that you are often away from the phone then you may want to consider setting up your voicemail to go to your email, as it requires no dialing to access it.

Even if you want to temporarily set it up, say you are going to be away at a conference for a week and it would be easier to access it from your email, then you should be able to do so simply from your dashboard.

See call management stats

Dashboards can also allow you to conveniently see statistics on incoming and outgoing phone calls. This is great for helping you to make data-driven decisions to elevate your business. Seeing information, such as the number of calls missed, can give great insights on how to improve performance and what changes may need to be made. Information is delivered to you in easy-to-digest charts and reports.

What is a virtual PBX phone system and how does it work?

A virtual PBX phone system is a business phone system that uses Voice over Internet Protocol (also known as VoIP) in order to be able to make phone calls through the internet. Essentially, the way it works when someone calls your business is the call is transferred to the virtual PBX, where it is then processed based on pre-configured routing rules set up through an easy-to-access dashboard, and forwarded to the correct person.

How does virtual PBX help a business?

A virtual PBX phone system can be a great asset to any company, as long as there is a reliable internet connection. A virtual PBX can help lower costs over the long term, create less waste from traditional hardware, give employees greater freedom in where they work, make forwarding easier, and even give insights into call management through data. The list goes on really.
